How we collect and use your personal information.

Who we are

TrueBooks is an accounting automation service for Amazon sellers, operated from the United Kingdom. For any privacy-related questions, contact us at support@truebooks.co.uk.

What information we collect

We collect information you provide directly when you create and use your account:

  • Your name and email address
  • Your password (stored in a non-reversible encrypted form)
  • Billing information (processed by our payment provider — we do not store card details)

When you connect your Amazon Selling Partner account, we access financial settlement data via the Amazon SP-API. This is described in our Data Handling Policy.

We also collect certain technical information automatically, including your IP address and browser type, used for security and fraud prevention.

How we use your information

We use the information we collect to:

  • Provide and operate the TrueBooks service
  • Send you service emails such as password resets and billing receipts
  • Prevent fraud and keep your account secure
  • Meet our legal obligations

We do not use your information for advertising, and we do not sell or rent your data to any third party.

Who we share your information with

We share your information only where necessary to provide the service:

  • Postmark — transactional email delivery (password reset, billing notifications)
  • Xero — if you choose to connect Xero, we send your settlement data to your own Xero organisation. This is always at your request.
  • Payment processor — your billing information is handled directly by our payment provider under their own privacy terms.

We may also disclose information if required to do so by law or court order.

Cookies

We use only the cookies strictly necessary for the service to work — to keep you signed in and to secure the Amazon connection process. We do not use advertising or tracking cookies, and we do not use third-party analytics services.

How long we keep your information

See our Data Handling Policy for full retention periods. In summary: most account data is deleted when you close your account, with financial records retained for the period required by UK law (typically six to seven years).

Your rights

Under UK data protection law, you have the right to:

  • Access the personal data we hold about you
  • Ask us to correct inaccurate data
  • Ask us to delete your data (subject to legal retention requirements)
  • Object to or restrict how we process your data
  • Receive a copy of your data in a portable format
  • Withdraw consent where processing is based on consent

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk. We would appreciate the chance to address any concerns directly first.

Changes to this notice

We may update this notice from time to time. If we make significant changes, we will notify you by email before they take effect.
