Data Handling

What data we access, how we store it, and what happens when you leave.

Amazon data

When you connect your Amazon Selling Partner account, TrueBooks accesses your financial settlement data via the Amazon SP-API. We access only the data needed to provide the service:

  • Settlement reports — period totals and transaction-level detail (amounts, fees, order references)
  • Financial event summaries — disbursement dates and totals
  • Marketplace participations — which Amazon marketplaces your account is enrolled in

We do not access customer names or addresses, product listings, inventory levels, or any data unrelated to financial settlements.

Your Amazon credentials are encrypted and stored securely. We use them only to retrieve settlement data on your behalf. We never share your Amazon credentials with any third party.

Disconnecting Amazon

You can disconnect your Amazon account at any time from your account settings. When you disconnect, TrueBooks immediately stops fetching data from Amazon. Your previously imported settlement data remains in your TrueBooks account so your accounting history is preserved.

Xero data

If you connect Xero, TrueBooks posts your settlement data to your Xero organisation when you explicitly request it. We do not store your Xero credentials beyond what is needed to make that connection, and we do not access any Xero data beyond what is required to post your settlements.

Data storage

All TrueBooks data is stored on servers located in the United Kingdom. Your data is isolated to your account — no other TrueBooks user can access it.

Data retention

Closing your account

When you close your TrueBooks account, your personal information (name, email, password) is deleted within 30 days. Your IP address is retained for 90 days to prevent abuse, then deleted.

Financial records (your settlement and transaction data) are retained for the period required by UK law — typically six years from the end of the relevant tax year — to meet HMRC record-keeping obligations. This data is held in an archived state and is not accessible through the TrueBooks application after account closure.

Subscription cancelled or trial expired

If your subscription is cancelled or your trial expires without conversion, your account enters a grace period. After 90 days, your account and its data will be permanently deleted, subject to the financial record retention requirement above.

Data deletion requests

You can request deletion of your personal data at any time by emailing support@truebooks.co.uk. We will confirm what can be deleted immediately and what must be retained under legal obligations. Account deletion is permanent and cannot be reversed.

Sub-processors

We use a small number of third-party services to operate TrueBooks. Each is subject to a data processing agreement:

  • Postmark — transactional email (password reset, billing receipts)
  • Xero — accounting data posting, at your request
  • Payment processor — subscription billing

We do not use advertising networks, behavioural analytics services, or any sub-processor that would use your data for purposes other than delivering the TrueBooks service.
